In Release 7.8.0 we introduce the following enhancements to the Validaide application:
- Active/Inactive Company Locations
- The CSV files for SOPs and Route Evaluations now include additional data fields originating from the Version Control tab

1. Active/Inactive Company Locations
In release 7.7.0, we enabled the users to deactivate Company Location. In this release, we enable users to filter Active and Inactive company locations.
Additionally, the Active/Inactive tag is also visible in the:
- Company/Supplier location spreadsheet
- Location overview spreadsheet
- Lane PDF
- Location PDF
2. The CSV files for SOPs and Route Evaluations now include additional data fields originating from the Version Control tab
Giving you more visibility into document validity and approvals. The following fields have been added:
- Revision Period
- Approved On
- Expires On
3. Lane Classifications
Similar to the Company Location Classification and Supplier / Supplier Location Classification, Tenant Administrators can create and manage their company Lane Classifications under Administration → Settings → Classifications. Up to four customizable classification categories are available, and Tenant Administrators may rename each category to meet company internal classification standards.
The Lane Classification setting is available to the following user groups for the Lanes they own (and share, where applicable):
- Premium Pharma Manufacturers - Lanes they own and share
- Premium and non-premium Air Carriers - Lanes they own
- Forwarders - Lanes they own
- Ocean Carriers - Lanes they own
- Wholesalers - Lanes they own
Each organization only sees its own classification labels. Classification names are not shared with external parties, even when the Lane is shared. All internal users can view the Lane Classifications, but only certain roles can edit them.
Lane Classifications can be assigned in the Configuration tab, under the Classification card. Lane Classifications are visible in the following areas:
- The Lane Listing page, under All Lanes, My Lanes, and My Location Lanes
- Internal users within the company
- Lane exports, including:
- Lane PDF
- Lane CSV
- Lane JSON
Because classification labels are organization-specific, sharing parties will only see the classifications defined within their own organization.
Note: The Lane Audit Trail displays only the default system values (e.g., Class 1, Class 2) rather than the customized names. This ensures the classification naming conventions remain private to each organization. The main Audit Trail also records the creation, changes, and deletion of classification names.
The following roles can update the Lane Classification on a lane:
- Tenant Administrators
- Responsible User
- Contributors (internal and external)
- QA (internal and external)
- Approvers (internal and external)
Users can filter lanes based on the defined Lane Classifications. When a lane is copied, its classification settings are copied automatically.
4. Login Attempt Limit Reduced to Five
To strengthen protection against brute-force attacks, the maximum number of allowed login attempts has been reduced to five. Users now have five opportunities to correctly enter their login credentials.
If all five attempts fail, the account will be automatically blocked. In such cases, Validaide will send an automated email with instructions to reset the users password as a security precaution.
In addition to the email prompt, users may also choose to reset their password proactively at any time by selecting “Reset my Password?” on the login screen.
5. Assigning additional users to sign that they have Read and Understood the content of the SOPs
Pharmaceutical companies operating under GxP often need additional stakeholders, beyond the formal approval workflow, to confirm that they have read and understood an SOP.
Validaide enables all relevant stakeholders, also those outside the approval workflow, to efficiently acknowledge SOP awareness directly within the platform, eliminating the need for duplicative export-and-upload steps.
A new optional drop-down field is displayed under the User Roles card for assigning Read & Understand users. These are active Validaide users who are not part of the original workflow, but can still be assigned to a specific SOP to confirm awareness. These additional users can hold any user role (e.g. Tenant Administrators, Editors and Viewers). It is possible to assign up to 6 internal and 6 external stakeholders to sign off on an SOP. External stakeholders may be from multiple companies and each company can have up to 6 assignees. Users, that are not part of the workflow, and are only assigned to sign off on the SOP cannot modify the SOP content. Their only task is to provide their signatures on the SOP and acknowledge that they understand the associated process.
The assigned users are visible not only on the User Roles card but also in the Version Control tab.
Users can be assigned to an SOP in these statuses:
- In progress
- In internal review
- In internal QA review
- In external review
- In external QA review
- Approved
- About to expire
However, users cannot be assigned to an SOP in the following statuses:
- No workflow
- Expired
Notification for the users:
The users assigned to Read and Understand the SOP will receive both an email and in-app notifications in Validaide prompting them to sign the SOP.
Note: Only SOPs with Approved or About to Expire statuses can be signed. These users should acknowledge only the final, approved process of the SOP. Therefore, they do not receive a notification when assigned to an SOP in any other status. They are notified only when:
- the SOP becomes Approved,
- they are assigned to an already Approved SOP,
- They are assigned to an SOP that is About to Expire.
If users are assigned in any other workflow status, they will receive a notification to sign only once the newest version reaches Approved status.
If the workflow is restarted, these users will no longer be able to sign the SOP. They can sign again only after the SOP is approved again, and they will receive a new notification to sign the latest approved version of the SOP.
Users who have not yet signed the SOP will receive weekly reminder email, as part of the standard reminder process, as long as the SOP remains in Approved or in About to Expire status.
Electronic signature.
Users, assigned to an SOPs to confirm that they understand the content must provide an electronic signature in Validaide.
User suspension.
If a user assigned to an SOP is suspended, their tasks must be reassigned to another active user in Validaide. Task and roles can be reassigned only to users with Administrator and Edit rights.
The signing action is recorded in the SOP Audit Trail, the Tenant Administrator Audit Trail and the Version Control tab.

7. Bulk Actions Under the My Locations and My Suppliers Menus → Lanes Tab
Validaide now supports filtering lanes by the locations used in steps. Users can find a specific location directly from the Lane menu and perform actions on the associated lanes. Users can now navigate to the My Locations or My Suppliers menus and use the lane tab to view all lanes linked to a specific location or supplier. From there, bulk actions can be applied to all associated lanes. This functionality is especially valuable when a location is being updated or replaced, as it allows users to efficiently manage all affected lanes at once.

8. Increased Character Limit for the Internal Reference Field
The character limit for the Internal Reference field has been increased from 32 to 64 characters, allowing users to add more detailed or descriptive references.
9. Weekly Lane JSON Export Renamed to Include Timestamp
The weekly Lane JSON export filename now includes a date and time stamp. This improves compliance, traceability, and version tracking by making it easy to see when each extract was generated.
10. Lane Performance Management for Shared Lanes
Pharma manufacturer Tenant Administrators can now add, edit, and remove Lane Performance entries in shared lanes in the Lane Configuration tab.
Tenant Administrators can perform these actions when a lane is in any workflow status except for no workflow.
This enhancement allows pharma manufacturers to document and maintain performance data of lanes they own, as well as lanes shared by forwarders.
11. Additional filters in SOPs and Route Evaluations
To make it easier to assign lanes to SOPs and Route Evaluations, 2 additional filters are now available when adding Lanes:
- Packaging Type
- Transport mode
Bug Fixes:
- When downloading a lane CSV, the description of the lane previously appeared under a column named Comment. This was fixed and the column now is named Description.
- The weekly Validaide report email was sent twice every Monday. This has been fixed, and users now receive the report only once.
- When navigating to "My Company" under the Map tab, the locations on the map showed all the workflow statuses (New, In Progress, Under Review, Reviewed) except "About to Expire" and "Expired". This has been fixed and both statuses are now included in the map.
- When searching for a flight in Flight Search , certain airport pairs (VIE-KIV, IST-FRU, GYD-FRU, KIV-GYD) returned an Error. This has been fixed and now flights for those routes can now be searched without errors.
