In Release 7.0.0. we introduce the following enhancements to the Validaide application:
Lane creation request – This functionality is available for manufacturers, wholesalers, and forwarders, to further improve digital collaboration and lane management. The “Request Lane” button is available for all user types.
A lane creation requests can be sent from a manufacturer to a forwarder as well as internally from one team member to another or even a group of people (if a group has been created).
How to send a lane creation/update/deactivation request.
If approving the lane request a responsible person has to be assigned on both sides - the manufacturer and forwarder side. When the lane request is being accepted a new lane is being created with the filled-in requirements and is being shared with the requester company.
If a lane creation request is rejected a reason has to be provided and the requester receives a notification.
For forwarders, it is possible to create a lane creation request internally and assign it to another user.
If rejecting the request, the responsible user has to give a reason for rejection. The responsible user at the manufacturer that has submitted the lane creation request receives a task when the lane creation request has been rejected. Two options are offered:
- To adjust and resubmit the request,
- To delete the request.
Lane performance in Lane Risk Assessments - External contributors and Approvers (manufacturer) can now have access to the Configuration tab, in which they can edit “Lane Performance”. (Can be added/edited in following statuses – in progress, internal review, external review, approved, about to expire, and expired.)
After having added the lane performance it can be viewed under the “Assessment” tab as the 6th tab is called “Lane Performance”, it plays a role in the "Pharma Index".
Additional bulk actions (Lane update/deactivation request – Lane creation and lane update functionality can be found in the lane overview screen as one of the bulk actions. After having clicked on the “Update” or "Deactivation" button, a popup window will appear. Fill in the information and click on “Update” or "Deactivation". This request will be sent to the lane owner. The lane owner then has two options - to approve or to reject the request.
When clicking on the lane name, the system guides the user to the lane. The group members can claim lane by lane.
When the lane gets approved, a task is created for the responsible for the lane, this applies both to the lanes of the manufacturer or forwarder user if managed from tasks.
The requester can cancel the request and close it.
When assigning directly to a responsible.
When there is no group, the update request is sent directly to the responsible. If rejected to request goes back to the requester. If the request is accepted the workflow is automatically restarted.
If a lane deactivation has been approved, the lane will still be visible, but it will no longer appear as ”Active”.
It is possible to limit the possibility of sending the lane deactivation/update to a specific group of people, in order to do that a group of users has to be pre-defined by an administrator user and then the limitation of lane creation has to be set in the settings.
Country security risk – An additional, fourth factor - “Country Risk Score” has been added for lane risk assessments this is shown under Assessment - Security.
The risk of origin and destination country is compared, and the system chooses the worst case. If one of the countries does not have a risk scoring it takes the available one, if none has a risk scoring it is shown as insufficient and is not considered when calculating the total risk score.
When the country risk is applied the lanes that will be updated – no workflow, in progress, internal review, and external review but NOT Approved Lane, Expired and About to expire.
Route evaluation – Under the SOP menu, when creating a new SOP, ‘Lane evaluation” has been renamed to “Route Evaluation”. The same lane can be attached to several different SOPs. Lanes can be categorized into – “Unassigned, Primary, Back-up, Pre-carriage, and On-carriage”.
Minor enhancements.
Access to the “Parties’ screen to edit origin and destination locations - Possibility to add/ edit for manufacturers under parties' origin and destination locations in a lane owned by a forwarder.
UI improvement packaging repository - Packaging type abbreviation is shown under “Type” now.
Lane road step minimum duration adjustment - In a lane road step, a warehouse activity minimum duration of an activity is 30 min, it is possible to change it to 15, min. the limitation is 5 min for a warehouse activity.
Additional fields when downloading user lists (for administrators) - User download has additional fields – Role Assignments and Open tasks.
Pharma index captured in the “Version Control tab” - Version control will capture the Pharma index during the time of lane approval for every version.
Additional notification in the lane approval pop-up screen - A notification has been added to the pop-up screen when approving lanes and SOPs:” Be aware that you are now signing an electronic record which is equivalent to a hand-written signature”, to notify of the use of a digital signature.
Security measures renamed – Under lane configuration, and assessments, “Security Measures” has been renamed to “Security”.
Lane download and request limitation - Under “Settings” a user administrator can set who can download lane csv and handle lane requests, the default is set to “All Users”.
Change in qualified duration if a reefer is selected – When creating an ocean lane if a reefer is selected as container type, packaging qualified duration does not show.
Additional filters in SOPs - Extra filters in SOPs - origin country and destination country, origin location, and destination location.
Additional lane filters – In the lane overview new filters have been added - active, outdated, and is being shared, for lane status. Origin location and destination location are two different fields, that apply only to company locations. Origin air or seaport, destination air or seaport.
Proposed shipping date – When configuring a lane in the “Configuration” tab under “Booking information” it is possible to add proposed shipping time.
Temperature monitors – In the lane “Configuration” tab under “General Information” it is now possible to indicate if temperature monitors will be used.
Lane and SOP approver amount increase - When starting the workflow, the number of approvers has been increased from 4 to 6.
Possibility to add contributors in external approval workflow - It is now possible to add external contributors for LRAs from manufacturer users.
Additional fields in lane csv – in csv export new fields have been added. The new fields are – origin airport, transfer airport, destination airport, and involved airlines/carrier companies this shows only for air lanes.
Bug Fixes.
- When creating a lane that has both a pick-up point and a drop-off point, the postal code was not showing in the overview of the lane or the PDF download of the lane. The issue has been fixed and now the postal code is included both in the overview of the lane and the pdf download of the lane.
- In the SOP feature, when an SOP that has an external contributor configured gets rejected by an internal approver, the external approver receives an email notification that the SOP was rejected. The link to the SOP in the email notification guides the external approver to an error page. This was fixed and the link in the email notification is now guiding the external approver to the SOP.
