Upload File
In Validaide you can upload files to companies and locations - own or supplier locations.
With this, you can add files such as certificates or technical agreements, and make them available only within your company, share them with other companies who send a sharing request or make them publicly available for your (potential) customers within Validaide.
With each upload you get a pop-up window where you have to add a description to your file, select the type of the file and define who can access it.
You can choose from the following types:
- Certificate: any certificates that apply to your special cargo handling capabilities, such as ISO certificate, IATA CEIV certificate, GDP certificate
- Audit Report: a report of any relevant audit that has been conducted on the location/company
- Technical Agreement: if you have a technical agreement (quality agreement) in place with the location/company, you can upload it here
- Service Level Agreement: any kind of service agreement you would like to visualize in relation to the location/company
- Data Logger (applies to Lanes): actual temperature data logger reports in case you used data loggers on this lane before
- Packaging Qualification (applies to Lanes): in case you have conducted packaging qualification for the lane, you can add the supporting document for it
- Other: any other file you find relevant for the location/company. You can further specify it in the description field
For the access, you can choose from the following three options:
- Private
- Share Request
- Public
Please note that the files are always visible to all users of your own company regardless of how you share them so please follow your own company rules in uploading the files. You may not be allowed to upload any kind of file due to company policy.
This is what it looks like after you have uploaded some files:
The number of files uploaded is indicated in the Files tab on the top.
The name and type of the file are visible on the left side.
The description is shown in the middle of the screen.
On the right you can see the access icons (share request , private
or public
), the change history, and the size of the file.
On the far right you see the action icons: download , edit
, and delete
.
Files can only be uploaded, modified and deleted by the Responsible, Reviewer or an Administrator.
Other users within your company can only download the files.
My Company File Upload
To upload files for your own company, go to the My Company menu, Files tab.
Then simply click on the button and fill in the details in the pop-up window.
Supplier Company File Upload
To upload files for a supplier company, go to the My Suppliers menu, find the supplier company you would like to upload the file for, click on it, and go to the Files tab.
Then simply click on the button and fill in the details in the pop-up window.
You can also see here the files your supplier company has shared with you (either by making it publicly visible or accepting a sharing request from you):
Own or Supplier Location File Upload
To upload files for an own or supplier location, go to the My Location menu, find the location you would like to upload the file for, click on it and go to the Files tab.
Then simply click on the button and fill in the details in the pop-up window.
For supplier locations, you can also see here the files they have shared with you (either by making it publicly visible or accepting a sharing request from you):
