1. Setting up company locations
To see the list of your company locations in Validaide, go to:
If you are the responsible user and thus responsible for keeping a certain Company Location information up to date, you need to review and update the following information (as well as update the location capabilities, see point 2):
After clicking on a location, go to the Configuration tab. Please check:
- General information: Contains location name, internal reference, airport, location type, commodities handled, activities performed, road transport service availability, and customer handling.
- User roles: Responsible and Reviewer users for this location.
- Capability Profile: Choose to see Standard. For an explanation of the standard and extended view, please see here.
- Audit (optional): Select if you have conducted an (internal) audit. If yes fill in the details of it.
- Contact Information: Contains phone, email, website, address, and the map of this location.
- Operating Hours: Modify the opening hours of the location, particularly warehouses. The default is set to non-stop opening.
- Suppliers (optional): Select if the location has subcontracted warehouse locations or subcontracted road transport providers (companies providing road transport or locations providing road transport.
- Classification (optional): Set up a classification for this location.
By defining subcontracted warehouses or road transport providers, you can fully define your network and relationships with your suppliers. When a location has been configured that it subcontracts road transport provider (-s) it can be used as a road transport provider in a lane risk assessment. The location shows as the road transport provider without showing your subcontracted road transport providers in the lane risk assessment.
Interesting information
On 'My Locations' page, you can see your company locations and your supplier locations. Supplier locations are marked with an arrow . You can see the location type, capability status indicated with a dot, and how many companies have indicated that they use your own location.
2. Adding Company location capabilities
Responsible User:
- Go to the

Note: If you experience that the Questionnaire tab is unavailable, you first need to start the location workflow before you can answer the questionnaire. To do that please click on

- You can answer the questions by simply clicking on the correct answer.
- You can add a comment if you wish to clarify an answer.
- You can reset an answer and retrieve the previously entered response by clicking the reset button.
- Once you have filled in the questionnaire sufficiently, it is important to ensure it reaches the Reviewed Status otherwise customers cannot see it.
- To Review your capabilities:
- Click on
- An email will be sent to the reviewer to review the company.
- Click on
Reviewer:
- Go to the My Locations page and click on the location whose capabilities you like to review.
- In the
tab review the answers.
- If you found everything correct, click on the
button to get the location into the Reviewed Status.
To modify the capabilities once they have been reviewed, the Responsible User can click on to restart the workflow.
For most forwarders, the Responsible and the Reviewer are 2 different people. They can, however, be the same person.
When defining capabilities in a workflow, in case of the same user being the Responsible and the Reviewer, the user is able to review the capabilities in one step.
3. Adding Location Active/Inactive Label
Tenant administrators and Responsible users can deactivate company locations to reflect site changes. Deactivated locations will no longer appear in the selection list when configuring Lanes and SOPs, helping to maintain data accuracy and relevance.
- To set up a label, a new field “Is this Location currently active?” has been added under Location Configuration tab > General Information, with options: Yes / No
- This label is not shown under the Market Info > Locations
- Inactive locations won’t be selectable in lane steps
- Responsible and tenant admin can update this information in any location workflow status
The Active/Inactive tag is also visible in the:
- Company/Supplier location spreadsheet
- Location overview spreadsheet
- Lane PDF
- Location PDF
