Defining your own view is not necessary in case the data is already available from your supplier. However, if their capabilities are not accessible, or e.g. you conducted an audit and you see their capabilities differently, you might want to define your own view in Validaide. At some forwarders, creating your own view is required.
Workflow
In the process of defining, reviewing and maintaining capabilities, various user roles are defined:
- Responsible: This person is responsible for the data that is being collected and for filling in the questionnaire, then submitting it for review. This role is originally assigned by the Requester, and may be changed later.
- Reviewer: This person reviews the Location or Supplier capabilities.
We advise assigning the Responsible user and Reviewer roles to two different users for verification purposes.
The workflow consists of the following steps:
- Add a Supplier or a Supplier/Company Location.
- Define Capabilities - assign the Responsible and Reviewer roles.
- The Responsible user edits the questionnaire and submits it for review by clicking on
.
- The Reviewer user reviews the questionnaire and approves it by clicking on
.
Define Supplier's Company Capabilities
To define the capabilities of your supplier companies first you have to add them as suppliers.
You can do that in the menu by clicking on the
button and then filling in the information in the pop-up window accordingly.
Note: If you created a lane with this supplier, it has been added automatically, it is already in your suppliers list.
Then you can simply follow the workflow until you have the Supplier in Reviewed status.
The goal here is to create your own reviewed view of the Supplier.
You can also send a sharing request to the company to share their view with you. You can easily do that in the same Suppliers menu – by clicking on the company’s name - then clicking on the button.
Please note that this can only be done for companies that are already tenants on Validaide. Otherwise, you can invite them to join the platform by clicking on the
button.
After they accepted your sharing request, and in case they have a reviewed view of their capabilities, you can view the data in the Suppliers menu – by clicking on the company’s name – and then going to the Compare tab. There you can see your supplier’s answers. Optionally you can use the button to take their answers to your own view, which you can then modify if you would like to.
In case your supplier has public sharing turned on you can just take over their view without sending a sharing request by navigating to the Compare tab and clicking on .

Define Supplier's or Your Own Company's Location Capabilities
To define the capabilities of the warehouse locations first you have to add them as supplier/company locations.
You can do that in the My Locations menu by clicking on the button, or
if it is a warehouse owned by your company.
Note: If you created a lane with this supplier location, it has been added automatically, it is already in your locations list.
Then simply follow the workflow until you have the Location in Reviewed status.
More on how to define location capabilities
The goal here is to create your own reviewed view of the Location. Please note that we identify the location by the company that owns it, so in the case of an airport warehouse location, it is identified by the GHA and not by the airline (with an exception of the case when an airline does its own handling e.g. usually at their hub).
For supplier locations, you can also send a sharing request to other companies to share their view with you. You can easily do that in the Locations menu – by clicking on the location’s name - then clicking on the button.

You can also manually select the view that you would like to use by clicking on the pencil icon and then going to the Capabilities tab.
Example:
In the above example you can see that your company's view is not defined yet, it is in New status.
Turkish's view is defined and you have requested it, but the request has not been accepted yet. Currently, this view is selected to be used in the lane risk assessment. Swissport has accepted your sharing request, but their view is not defined yet, hence not visible to you.
Please note that you can only send sharing requests to companies that are already tenants on Validaide. You can send out multiple sharing requests to different companies, so you can have many different views of the same location. In case you do not know who to request the information from, you can go to the Data Sharing tab and there you can see a section called Suggested Requests, with the companies that have that given location listed, and you can also see the status of their data collection.
After they accepted your sharing request, and in case they have a reviewed view of their capabilities, you can view the data in the Locations menu – by clicking on the location’s name – and then going to the Compare tab. There you can see the other company’s answers (or multiple other views), along with the publicly available data. Optionally you can use the button to take their answers to your own view, which you can then modify if you would like to.
In case your supplier has public sharing turned on you can just take over their view without sending a sharing request by navigating to the Compare tab and clicking on .
